Terms and Conditions

Please read these Terms & Conditions carefully before confirming your booking. They outline how Precision Pilates Studio operates and form part of your agreement with us. As a small business, we rely on these policies being followed consistently and ask that no exceptions be requested.

By making a booking, you agree to all terms below.

1. Changing or Cancelling Bookings – Classes

Mat Studio Classes

  • Cancellations or changes may be made up to 24 hours before the class start time without charge.

Reformer / Tower Classes

  • Cancellations or changes may be made up to 72 hours before the class start time without charge.

Late Cancellations

  • Cancellations made outside the above notice periods will result in the loss of the class, with no refund or credit issued.

2. Drop-In Classes (No Class Pass)

  • Drop-in classes are paid for at the time of booking.

  • If cancelled within the applicable cancellation window, a class or cash credit will be added to your Momence account.

  • Refunds are not issued back to the original payment card.

Monetary refunds are not offered.
Any refunds granted in exceptional circumstances are at the sole discretion of Precision Pilates Studio and may incur a £15 administration fee.

If a booking is paid for by a third party, it is your responsibility to inform them of our policies.

3. Class Passes / Class Packs

  • A Class Pass / pack consists of class credits stored on your Momence account.

  • All Class Passes / Packs have a fixed expiry date. Please check this before purchasing.

  • Unused credits expire and cannot be rolled over or extended.

  • No refund given should the customer change their mind or not use their class pack or credits.

Class Cancellation with Class Passes

  • Mat Classes: 24-hour cancellation policy

  • Reformer / Tower Classes: 72-hour cancellation policy

Cancellations made within the notice period return a class credit.
Late cancellations result in forfeiture of the class.

4. Recurring Bookings

Recurring bookings reserve a regular space for you.

  • Classes are held as unpaid until 7 days before the class, when a credit is taken from your account.

  • If no credit is available, your card on file will be charged at the drop-in rate.

  • Cancellations made more than 7 days in advance do not incur a charge, as no credit has yet been taken.

Managing Recurring Bookings

  • To permanently remove yourself from a recurring booking, please email us.

  • You do not need to cancel individual dates.

  • If you miss 4 consecutive weeks, we reserve the right to release your space.

  • Frequent cancellations may also result in the loss of your recurring place.

5. Missed Sessions / No-Shows

  • No refunds, credits, or catch-up classes are offered for missed sessions.

  • We encourage clients to cancel even if late, to allow waitlisted clients to attend.

6. Studio Closures & Cancelled Classes

If we cancel a class due to staff illness, low attendance, or unforeseen circumstances, your account will be credited.

Minimum numbers:

  • Mat Classes: 4 attendees

  • Reformer Classes: 2 attendees

We will make reasonable efforts to notify you via email, SMS, or in-app notification. Please ensure your contact preferences are enabled.

In the event of government-mandated closures, we may offer:

  • Video on Demand classes, or

  • A freeze on unused credits.

7. Private Sessions (1:1 / 1:2 / 1:3)

  • All private sessions must be paid in full at least 24 hours in advance via invoice (BACS).

  • Failure to pay will result in cancellation.

Cancellations

  • Missed or cancelled sessions are forfeited and no refunds will be applied.

  • With 72 hours’ notice, we may attempt to reschedule if the session can be resold (not guaranteed).

Term Bookings

  • Term bookings reserve a fixed weekly slot and are non-transferable.

  • One holiday week is permitted per term.

  • Terms follow the Wiltshire School Term Calendar.|

  • Any refunds granted in exceptional circumstances are at the sole discretion of Precision Pilates Studio and will incur a £15 administration fee.

8. Medical Conditions & Health Information

Clients must:

  • Declare all medical conditions, injuries, and relevant health information at booking.

  • Inform us of changes (including pregnancy or surgery) via email.

  • Keep contact and emergency details up to date.

  • Not attend if experiencing illness or Covid-19 symptoms. Alternative online options may be available.

  • Ensure they are “fit for exercise” and cleared by their GP.

All information is treated confidentially.

9. Lateness

  • Studio doors close at the scheduled start time. Late entry is not guaranteed.

  • Missed sessions due to lateness are non-refundable.

  • Repeated lateness may result in removal from ongoing classes.

Arrival guidance:

  • Mat Classes: Arrive no earlier than 5 minutes before class

  • Events: Arrive 15 minutes early

  • Reformer / Private Sessions: Wait outside until invited in 5 minutes prior to session.

10. Valuables & Personal Belongings

  • All belongings are left at your own risk.

  • Precision Pilates Studio accepts no responsibility for loss or damage.

11. Health, Safety & Hygiene

By attending, you agree to:

  • Participate at your own risk

  • Exercise within your own limits

  • Stop if something feels wrong or you feel unwell

  • Attend only if well and not under the influence of alcohol / drugs.

  • Wear appropriate socks

  • Bring a non-glass water bottle

  • Not chew gum during sessions

12. Studio Etiquette

  • Phones and smartwatches must be off or on airplane mode

  • Notify teacher if your phone needs to be left on for emergency reasons.

  • No outdoor shoes in studios

  • No food or hot drinks (unless for medical reasons)

  • Clean equipment after use

  • No prams, bikes, scooters, or buggies

  • Clients must bring their own mats and props unless stated otherwise

13. Teachers & Class Observation

  • Teacher changes may occur due to illness or training.

  • Classes may be observed or co-taught for quality control, staff development, mentoring or teacher training. This includes student teachers.

  • Please treat all staff respectfully. Feedback should be emailed to the studio owner.

14. Clothing

  • Clients are expected to dress appropriately and considerately.

  • Ensure clothing is secure, non-transparent, and worn with suitable underwear and grip socks.

15. Hands-On Correction

  • Hands-on correction is used to support safe alignment.

  • Please notify your teacher if you do not consent.

16. Pre & Post-Natal Clients

  • Clients must inform us if they are pregnant or recently post-natal.

  • Pregnant clients NEW to Precision Pilates MUST attend an initial 1:1

  • Pregnant clients must ensure to have been signed off by their GP they are safe to exercise.

  • Current Precision Pilates clients who become pregnant must email to notify us of their pregnancy (all information will be treated with confidence).

  • Babies in mother-and-baby classes must be carried in slings.

17. Children & Minors

  • Clients aged 15+ may attend with prior written parental consent.

  • Minors are treated as adult participants and must follow all studio rules.

  • Parents are  to ensure the child’s safe travel to and from the studio.

  • Disruptive behaviour, failure to follow instructor guidance, or non-compliance will not be tolerated. Precision Pilates Studio reserves the right to refuse future attendance.

18. Filming & Photography

  • Filming during class is not permitted.

  • Photos may only be taken with teacher approval and without other clients present.

  • Staff may occasionally record content for marketing purposes.

  • Clients may opt out by emailing “Non-Consent Photos/Videos”.

19. Adverse Weather

  • No refunds or credits are issued for client-side weather disruption.

  • If we cancel due to weather, a class credit will be issued.

20. Withdrawal of Service

  • We reserve the right to refuse service due to inappropriate behaviour or substance use. No refund will be given.

  • We reserve the right to cancel classes on our timetable at any time without any prior notice. In these cases a credit will be issued.

21. Promotions & Pricing

  • Promotions may be withdrawn at any time.

  • Prices may change periodically; existing credits remain valid until expiry.

22. Data Protection & GDPR

  • Client data is stored securely via Momence and used only for operational purposes.

  • You may opt out of marketing emails. NOTE: This will limit important updates.

23. Liability

  • Participation is at your own risk.

  • We do not limit liability where unlawful, including for death or personal injury.

24. Force Majeure

  • We are not liable for delays or cancellations caused by events beyond our reasonable control.

25. Changes to Terms

  • We may update these Terms & Conditions from time to time.

  • Continued bookings constitute acceptance of the latest version.

    Please do not ask us to act in ways that conflict with our Terms and Conditions. We must apply our policies consistently and treat everyone fairly.
